STAPLES PROMO is different than the Staples Business Advantage Punchout and is treated as a non-catalog/special order item. 
Below are the steps to get a Promo Quote and turning it into a Coupa order.

STEP 1 )  Visit STAPLESPROMO.COM to browse all products and categories for branded item options. 
STEP 2)  Email  the Staples Promo Team at Saul.Rafel-Frankel@Staples.com with the following info for a PROMO QUOTE: Item Details, Quantity, Desired Delivery Date, Budget
STEP 3)  The Promo Team will send the QUOTE REQUEST back and follow the steps to enter a Free Form Requisition within Coupa for a non-catalog item.
  1. Go to the Coupa screen and click the fountain pen point next to the search bar. This will bring up the "Write a Request" screen.
  2. Enter a DESCRIPTION, select the QTY option, select STAPLES as the supplier, enter the price, quantity and the need by date.

  1. Enter the specific character sequence of the Quote in the Supplier Part # .  (The quote number will be at the top of the email sent by the Promo Team and the format is critical as it will be rejected if not entered correctly.)
  2. Select the "Add to Cart" button and then Review the Cart.
  3. Within the Justification Field, input the valid business reason for the request.
  4. Choose the Ship To Address and GL Codes.
  5.  Add a copy of the set of instructions sent by the Staples Promo Team with the order so that Purchasing can confirm the order info 
  6. Select the "Submit for Approval" button
