STAPLES PROMO for NFI Branded Gear - How to Order

Staples Promo is a wholly owned subsidiary of Staples Corporate and is an extension of the current relationship we have with Staples Business Advantage. Staples Promo orders will be processed separately from the Staples Business Advantage Coupa punchout and will be treated as a non-catalog/special order item. 

Below are the steps to get a Promo Quote and processing as a Coupa order:

STEP 1 )  Visit the STAPLESPROMO.COM online catalog to browse all products and categories for branded item options. 

STEP 2)  Use the online *Request for Quote tool to let the Staples Promo team know which products you would like quoted.
*Item Details, Quantity, Desired Delivery Date, and Budget will be requested

STEP 3)  The Staples Promo Team will send your Quote within 48-72 hours. 

STEP 4) Follow the steps below to enter a Free Form Requisition within Coupa for a non-catalog item. 

  1. Go to the Coupa screen and click on the "Not sure? Let us guide you" next to the search bar. This will bring up the "Write a Request" screen.



  2. Enter the specific character sequence of the Quote in the Supplier Part #.  (The quote number will be at the top of the email sent by the Promo Team, and the format is critical as it will be rejected if not entered correctly.)


  1. Make sure "Skip to 'Write a Request" by default" is selected. 
  2. Select the "Add to Cart" button and then review the cart.

    After adding your order(s) to your Coupa Cart: 
  3. Within the Justification Field, input the valid business reason for the request.
  4. Choose the Ship To Address and GL Codes.
  5.  Add a copy of the set of instructions sent by the Staples Promo Team with the order so that Purchasing can confirm the order info 
  6. Select the "Submit for Approval" button
